Operations Assistant
Role Description
Location: Midrand, South Africa
Full-time and Office based
Reporting Line: Business Unit Manager
Job Purpose
This is an internal back-office role focused on providing internal customer service and managing order
processing. Key responsibilities include placing purchase orders, managing price agreements, creating
quotations as needed, ensuring daily deliveries are processed correctly, and following up on invoices and
outstanding documentation. Additionally, the role involves assisting the broader team with various tasks as
required.
Recruitment Specialist
- Provide operational and back-office support to the SSI team
- Provide IP to Product Managers for stock orders
- Create and update all Price Agreements
- Process orders with Vendors
- Manage ETAs and track placed orders
- Liaise with Vendors regarding deliveries and the supply of invoices for direct partner deliveries
- Assist Product Managers and Sales with PO and ETA queries
- Handle any other queries related to back-office procedures
- Support the Product team with day-to-day administrative task
- Engage in continuous self-training on the product portfolio to identify further opportunities
- Compile various reports for submission to Vendors and internal teams
- Support Product Managers with Sage updates and maintenance
- Assist in creating new product codes in Sage
- Maintain SLAs regarding PO processing and ETA updates
- Acknowledge that this role requires working and attending training sessions after business hours when necessary
Experience and Knowledge:
- Minimum 1-2 years’ IT related experience
- Distribution experience is advantageous
- Experience working within an administration role
- Working experience in a customer service environment
Skills and Education:
- Hold a Matric with mathematics (essential)
- Possess a tertiary degree or diploma (preferred), with a Sales & Marketing or IT qualification being advantageous
- Demonstrate knowledge and understanding of the ICT market (advantageous)
- Exhibit intermediate computer literacy in Excel, as well as proficiency in MS Word, Outlook, and PowerPoint
- Work effectively in a high-pressure environment
- Communicate excellently, with strong email etiquette
- Display strong administration skills
- Show high attention to detail (meticulous)
- Provide a high level of customer service
- Understand finance at an intermediate level
