Junior Tender Administrator
Role Description
Location: Midrand, Gauteng, South Africa
Full-time and Office based
Reporting Line: Head of Tender Centre
Job Purpose
The primary purpose of a Tender Administrator is to oversee and manage the tender submission
processes ensuring that all bids are prepared and submitted in accordance with the stipulated
requirements and deadlines.
This role involves coordinating with various departments to gather necessary documentation, ensuring
compliance with tender specifications. The Tender Administrator functions as crucial link between the
company and potential clients by facilitating effective communication and contributing to the successful
acquisition of new contracts.
Recruitment Specialist
- Managing the Tender Office mailbox, ensuring all emails are read, actioned and responded to
- Receive and respond to tenders from both internal and external parties
- Review tenders received to qualify them
- Add to and update the Tender Tracker
- Track closing dates on tenders ensuring all tender closing deadlines are met
- Co-ordinate all the responses from vendors and internal product teams, compiling a complete bid pack for tender response to resellers
- Assist with tender-related queries from external and internal parties for Pinnacle South Africa
- Draft tender-related business correspondence
- Attend regular training on Pinnacle Brands and Products
- Attend weekly tender meetings, as well as all tender-related meetings when required to gather documentation and information as well as to provide support and input
- Assist with ad hoc information and support requests from the business relating to tenders
- Complete all tender center related administration duties
- Engagement with customers, internal parties, and vendors on a regular basis
- Source and identify available tenders on the tender websites
Experience and Knowledge:
- Minimum 1 year IT related administration experience,
- Experience preferably within the Distribution industry
- Experience preferably within a Tender/Bid Center
- Experience working with customers in a supporting role in the ICT Industry
- Experience working with the Public Sector
- Excellent customer engagement and relationship-building skills
- Good time management and well organized i.e., deadline driven, able to plan and prioritize a high workload
Skills and Education:
- Matric with mathematics is essential.
- A tertiary degree/diploma in Business Administration, Sales, Marketing or IT will be advantageous.
- Knowledge and understanding of the ICT market will be advantageous.
- Excellent computer literacy in MS Word, Excel, Outlook, and PowerPoint
- Exceptional administration skills
- High attention to detail – meticulous

- Be able to work in a pressured environment.
- Excellent business communication skills, both written and verbal

- Intermediate understanding of Financial concepts (enjoy, be comfortable and good at working with numbers)
